# Documents FAQ

> Quick answers to the things customers ask us most.

<AccordionGroup>
  <Accordion title="What's the difference between Documents and Evidence & Files?">
    Documents is what you write and approve, like policies and procedures. Evidence & Files is proof, not prose: screenshots, certificates and links. Evidence isn't versioned or approved. See [Documents: Overview](/documents/key-capabilities).
  </Accordion>

  <Accordion title="Can I upload a PDF as a document?">
    No. Documents takes `.docx`, `.doc` and `.xlsx`. Any other file you drop there, like a PDF, is added to Evidence & Files as evidence. See [Create a document](/documents/creating-a-document).
  </Accordion>

  <Accordion title="Are controlled documents and e-signatures switched on for every workspace?">
    No. Each is switched on per workspace. See [Make a document controlled](/quality/controlled-documents#make-a-document-controlled) and [E-signatures](/quality/review-cycle-and-statuses#e-signatures).
  </Accordion>

  <Accordion title="If I upload a document that already went through several versions elsewhere, do I lose that history?">
    Partly. Assuric doesn't import the earlier versions, but the file you upload is kept as version 0.0, labelled (Original), so the document's history in Assuric starts from it. See [Document versioning](/documents/versions-and-version-history).
  </Accordion>

  <Accordion title="Do I need to keep a separate copy of an approved document for my records?">
    No. Each approved version is saved as a PDF with the values it had when it was approved. See [Document versioning](/documents/versions-and-version-history).
  </Accordion>

  <Accordion title="If I approve a new version, does my Trust Centre or staff portal update by itself?">
    Yes, by default. When you approve a new version, *Republish options* lists every place the document is used, each ticked. Untick any you want to leave on the old version. See [Republish options](/documents/versions-and-version-history#republish-options).
  </Accordion>

  <Accordion title="How many templates does Assuric provide?">
    It depends on the frameworks enabled in your workspace. You'll see them under *Assuric Templates* on the **Templates** tab, alongside your own. See [Templates](/documents/templates-and-document-catalogue).
  </Accordion>

  <Accordion title="Can I turn a document I already wrote into a template?">
    Yes. Open the document's **⋯** menu on the **Documents** tab and click **Clone to template**. See [Create a custom template](/documents/templates-and-document-catalogue#create-a-custom-template).
  </Accordion>
